Features and Advantages of The Database management systems (DBMS)
A Database management system (DBMS) is a system software for creating and managing databases. The DBMS provides users and programmers with a systematic way to create, retrieve, update and manage data. A DBMS makes it possible for end users to create, read, update and delete data in a database. Since there are many users who accessing to the data in the database therefore, chances of data duplicity are very high. However, in the DBMS, data files are shared in turns of minimizes data duplication and redundancy. All the information in DBMS occurs only once therefore chances of duplicity are very less. In addition to that, the DBMS also have the proper integration of data that saves much more space and allows more data to be save in to the database. The DBMS also allows anyone who have the permission to work on it. Even those users who are not having any technical skills are able to work on it. The query language provided by the DBMS is so easy to understand. If they want to insert, edit, delete, update or search any record in the database, they can do it easily with the help of the queries provided by DBMS. Any non-programming user can do this with the help of any programmer.
Usually the large databases require lots of security and other feature like backup and recovery. All these features are contained in DBMS. It can maintain a database with lots of data and information. Through the use of DBMS, the database administrator (DBA) can perform the job of back and recovery of the database easily in short amount of time. In addition to that, DBMS also provides high level of security in terms of the authorize access to the database as security is a very big concern for all the organizations who are handling a large amount of data. DBMS doesn’t give the full access of database except the DBA or head of the department. They are able to alter the database and all users are created by them therefore the security level of DBMS becomes so high. No other user can access the full database. All of them have restrictions according to their work. Last but not least, DBMS also support the permanent Storage of Data as it stores all the data files permanently and there is no chance of any loss of data. If the data get lost then there is a backup and recovery feature that can restore the data. That is also means that all the data saved in the database is permanent and will not be deleted unless the authorized person like the DBA or the head of department purposely delete the data from the database.
Since DBMS is a type of system that manage the full data structure and exercise the full control over the data stored in the database, it has a number of benefits or advantages of using it in the organization daily operation. First of all, DBMS provide the better way of accessing and managing of the data. The better way of accessing and managing of data helps the end users share the data effectively and efficiently across the organization. The better way of accessing to data also be able to help in getting quick solutions through the database queries so that the data access is faster and more accurate. Therefore, the use of DBMS in the organization will be able to improve the Data Sharing across the organization and next improve the overall performants of the organization. In addition to that, through the use of DBMS the organization also can ensure the data security in their databases as the DBMS come with the security features in which it will provide the high level of security in terms of the authorize access to the database. Therefore, the data stored in the database is well protected by the security feature provided by the DBMS.
Usually, data inconsistency occurs when different versions of data exist in different places of the organization. It will cause lots of problems in the organization daily operation. Since one of the feature of DBMS is to minimize data duplication and redundancy, it will be able to minimize the data inconsistency. Other than that, DBMS also be able to increase productivity of the end user along with the quick decision making ability. This is because, with the help from the data management tools, the end users are empowered to make quick and informed decisions that can decide the success and failure of a company in a long run. In addition to that, quality information will be able to be generated with the good data management and better way of data accessing so that the users are able to make faster decisions. A good database managing system helps in providing a framework to facilitate data quality initiatives and the higher quality information helps in making better and faster decisions in an organization.
